Privacy policy

Hotlist Club is an independent directory of saunas in the UK. This page explains what personal information we collect, why, and what you can do about it. We've tried to keep it short and plain.

Who we are

Hotlist Club decides how the personal information described here is used, which makes us the "data controller". You can reach us about anything on this page athei@hotlist.club.

If you just browse the site

You don't need an account and we don't ask who you are. We don't use advertising or analytics trackers, and we don't set tracking cookies.

• Your grid or list choice is remembered in your own browser so the page looks the same next time. It never leaves your device.
• Searches by town or postcode are sent to Postcodes.io, a UK postcode lookup service, to work out where that place is. We send only what you typed.
• Maps on sauna pages load map images from OpenStreetMap and map software from unpkg.com.
• Typefaces are loaded from Google Fonts.
• Hosting. The site is served by Netlify.

As with any website, each of these services receives your IP address and basic details about your browser when your device connects to them, and may keep short-term logs. We don't receive or combine that information.

If you send in a sauna

When you use the "Add a sauna" form we collect:

• your email address, and your name if you give it
• whether you run the sauna
• the details you enter about the sauna

We use your name and email only to check the listing with you and to tell you what happened to it. They are never published and never used for marketing. Details about the sauna itself may be published as part of its listing.

Our lawful basis for this is legitimate interests: we need a way to check submissions and get back to the people who send them.

If you email us

We keep your message and email address for as long as it takes to deal with your request, and for a reasonable time afterwards in case you follow up.

If you run a listed sauna

Listings are put together from information venues publish about themselves, such as a business name, address, phone number and booking email. Where a venue is run by one person, some of that may count as personal information. If you'd like a listing corrected or removed, email us and we'll sort it out.

Who else handles the information

• Supabase stores our database, including form submissions. Our database is held in London.
• Netlify hosts the website.
• Resend may be used to send us an email alert when a submission arrives. The alert contains the sauna's name and town, not your name or email.

Some of these companies are based outside the UK, so information may be processed abroad under the safeguards those companies provide. We don't sell personal information or share it with anyone else, unless the law requires us to.

How long we keep it

We keep submission details, including your name and email, for as long as the listing they relate to is on the site, so we can contact you about it. If we don't use a submission, we delete it within 12 months. You can ask us to delete your details sooner at any time.

Your rights

Under UK data protection law you can ask us to:

• tell you what information we hold about you and give you a copy
• correct anything that's wrong
• delete your information
• stop or limit how we use it

Email hei@hotlist.club and we'll reply within one month. If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office atico.org.uk.

Changes to this page

If we change how we handle personal information, we'll update this page and its date.
